Work Order Administrator
Act as liaison between group Managers, System Supervisors, Quality Assurance team members, engineers, and maintenance and craft team leaders in matters regarding the Work Order and Job Plan processes, documentation and training.
Administer, execute database entry and maintain the Computerized Maintenance Management System (CMMS) database for the applicable area(s).
Facilitate Work Order processing to ensure the timely and orderly flow for Work Orders (Via CMMS workflow).
Review Work Order completion documentation, attachments, signatures, and dates and communicate with appropriate parties to seek clarification/completion, as necessary. Correct work types as appropriate.
Review Job Plan documentation, attachments, signatures, and dates and communicate with appropriate parties to seek clarification/completion, as necessary.
Processing job plans using the procedures specified. Maintain Work Order documentation of all maintenance, repairs and modifications to all physical equipment, system, and facilities using the procedures specified in the work order SOP.
Job plan processing – email notification, follow-up, securing signatures on documents. Update CMMS job plan records. Editorial review of draft job plans.
Assist Generation of PM work order as required.
Manages disposition of paper work orders and / or attachments
Associate s degree and 2 years of Administrative experience
OR High school diploma/GED and 4 years of Administrative experience
Helpful, can-do attitude with a solution-oriented approach
Excellent organizational skills and ability to manage multiple people at once (calendars too)

Experience working in biopharma industry
5 or more years of experience in an administrative support role supporting large teams at different levels
Managing multiple calendars including coordination across multiple time zones
Excellent written, verbal, and presentation skills in communicating key business and clinical information
Experience providing administrative support to remote staff
Ability to work in a fast-paced, deadline-driven environment
Discretion in dealing with proprietary information
